What a booking rate benchmark is actually worth
The full six-denominator breakdown, and how to build a comparison you can defend.
Six terms, defined the way they are used across this site — precisely enough that you could hand this page to someone and expect them to compute the same number you did. Each definition names the exact thing it does not settle, because most disagreements about these terms are disagreements about a case the definition left open.
The share of calls that result in a booked job. Sounds settled; is not — the same month of calls produces at least six defensible booking rates depending on what goes in the denominator (all inbound calls, answered calls, answered calls excluding non-opportunities, and so on). A call where the caller hangs up before reaching a CSR — not before the call is "handled," which is a broader and less precise definition some phone systems use. An abandoned call is a capacity signal, not a conversion one: it says a caller was offered and did not receive service, which is a staffing and queueing question, not a skill question. The elapsed time between a lead arriving (a missed call, a web form, a chat) and the first outbound contact attempt. Matters because a lead's willingness to answer a callback decays fast and roughly monotonically — the number that matters is not the average speed to lead but the share of leads contacted inside whatever window your close rate actually depends on, which is trade- and lead-source-specific and worth measuring rather than assuming.
The share of inbound calls that reach a complete outcome — booked, definitively declined, or resolved without a job — without a second call being required on the same request. Borrowed from general call-centre usage but worth stating precisely for home-service calls specifically: a call that ends in "we will call you back with a quote" is not first-call-resolved even if the caller is satisfied, because the booking decision has not happened yet and a second contact attempt is now required to close it.
The composition of inbound volume by type — emergency versus scheduled, job type, lead source, new versus existing customer. Call mix is the single most common reason two operations' booking rates are not comparable even when both are computed the same way: an operation fielding more emergency work, or a narrower job-value range, will post different numbers than an otherwise-identical operation with a different mix, for reasons that have nothing to do with how either phone is run. Segmenting by call mix before comparing is the first step in building a number you can defend.
An inbound call that could never have resulted in a booked job regardless of how it was handled — a wrong number, an existing customer confirming an arrival window, a supplier, a job applicant, a caller checking on an invoice. Non-opportunity calls belong in the denominator of an answer-rate calculation (the phone should still be answered) but distort a booking-rate calculation if left in, which is why "bookings ÷ answered calls" and "bookings ÷ answered calls excluding non-opportunities" are two different, both-defensible numbers that can be thirteen points apart on the same data.
