Start with one month and one call population.
This spreadsheet is a monthly review for a home-service office manager or CSR lead. It pairs an empty input column with an illustrative example so you can check the arithmetic before adding your own data. It includes input checks and leaves undefined rates blank.
- Download and save your copy. Open the .xlsx file in Excel. You can also import it into Google Sheets; check the example values below after conversion.
- Choose your scope. Record the date range, timezone, queue and business-hours rule. Apply those same filters to your call and booking exports.
- Enter six counts in the amber cells. Use one record per inbound call. Exclude duplicate transfer legs. Count each answered call that booked at most once.
- Resolve the checks. Answered calls, queue abandons and other unanswered outcomes must add up to inbound calls. Booked calls must be a subset of answered opportunities.
- Review the rates together. Preserve your definitions when comparing months. Save a dated copy with the export filters so someone else can reproduce the calculation.
What goes in each input?
- All inbound calls
- Calls entering the selected phone population, with each call counted once.
- Answered calls
- Calls connected to a person under your documented answer rule. A menu or automated greeting alone does not meet this template's rule.
- Queue abandons
- Callers who leave the queue before a person answers. Do not silently combine these with voicemail or after-hours calls.
- Other unanswered outcomes
- The remaining inbound calls, including ring-outs, voicemail and after-hours outcomes. Keep these categories mutually exclusive.
- Answered non-opportunities
- A documented subset of answered calls, such as wrong numbers, suppliers or arrival-window inquiries. Do not exclude a real service request simply because it did not book.
- Answered calls that booked
- Answered opportunity calls that resulted in a booking, counted once per call. Do not substitute all-channel bookings, completed jobs or booked revenue.
Enter zero only when you know the count is zero. Leave an unknown input blank. For background, read the definitions of abandoned calls, non-opportunity calls and booking rate.

The abandonment denominator here is all inbound calls. A phone platform may instead divide by calls that entered a queue or exclude short abandons. Those are different measures. Record the rule before comparing them.
One example, three booking rates
Suppose a month has 1,000 inbound calls: 880 answered, 120 queue abandons and zero other unanswered outcomes. Of the answered calls, 180 are non-opportunities and 300 book.
- 88.0% answer rate: 880 ÷ 1,000.
- 12.0% abandonment / all inbound: 120 ÷ 1,000.
- 30.0% booking / all inbound: 300 ÷ 1,000.
- 34.1% booking / answered: 300 ÷ 880.
- 42.9% booking / opportunities: 300 ÷ 700.

What this template cannot tell you
A monthly rate cannot locate a half-hour staffing gap, identify repeat callers, prove that an abandoned call was recoverable or price forgone revenue. It also cannot verify that your export labels match these definitions. Review the underlying records before drawing conclusions.
